The hidden cost of every capital call

Every capital call is a small reconciliation project. Calculate each investor's share from their commitment and prior contributions, apply any side letter excuse or carve-out, generate the notice with the right IBAN and reference, send it through email, chase the late payers, post the receipts to the GL, accrue late interest correctly for the overdue payers, and update the capital account ledger. For a fund with 30 LPs that's two days of work, four times a year, every year of the fund's life.

It is also where the most expensive mistakes live. A miscalculated drawdown becomes an LP dispute. A missed late-interest accrual becomes an audit finding. A capital account that doesn't tie to the GL becomes a NAV restatement.

One workflow, fully connected to the engines

The capital call wizard takes a target amount and a due date and produces the per-investor allocation in one pass, drawing on commitments, prior contributions, equalisation status from later closings, and any side letter exceptions stored against the investor. You review the schedule, override individual lines if needed (with the override reason captured), and approve. The notice PDF is rendered server-side with your branding, the right IBAN and a unique payment reference per investor.

Distribution goes through an EU-hosted email pipeline with the notice attached and a portal link. The investor sees the call in their portal alongside their historical calls, their capital account balance and the amount remaining undrawn. When payment arrives, the manager records it, the ledger is updated, and the activity log captures who recorded it and against which bank reference.

Late interest accrues automatically at the Term Sheet rate for as long as an item is overdue, and is reversed automatically once the investor pays, rather than corrected by hand. Cure periods, reminder notifications at days configured by you and default workflow with penalty enforcement are all configurable per fund.

Compliance & evidence

The flow respects the Dutch GAAP (RJ 615) presentation of called and uncalled commitments, IFRS for funds where elected, the SEPA Direct Debit and Credit Transfer rules for the SEPA XML export, and the fund agreement-mandated late-interest mechanics. Every notice, payment, accrual and reversal is logged with actor and timestamp for the auditor's chain of custody.

Frequently asked questions

How are capital calls calculated pro rata?

On commitments and remaining undrawn capital per investor, including equalisation for investors admitted after the first close.

Is late payment interest calculated automatically?

Yes. The interest rate and cure period come from the term sheet and accrue daily, including the escalation steps on default.

Can I export SEPA payment files?

Yes. Distributions export as ISO 20022 SEPA XML, so the file can be uploaded directly into the banking environment.

Are investors notified automatically?

Yes. Calls and distributions generate a personalised notice per investor with payment details, amount and due date, alongside the capital account movement.
